We are currently hiring on behalf of our client based in South Dublin for an experienced Executive Assistant to support three members of the Senior Leadership team.
Location: Dublin 14
Working Model: Hybrid
Key Duties:
- Manage and prioritise administrative support requests for the Executive Team
- Proactively plan, coordinate, and manage complex calendars, aligning them with organizational objectives and ensuring seamless transitions between commitments.
- Coordinate the preparation and distribution of materials for leadership meetings, ensuring all necessary documentation is readily available.
- Collaborate closely with the broader Corporate Support team to facilitate the smooth execution of all Executive Team activities, fostering a culture of efficiency and collaboration.
- Take ownership of end-to-end travel and event planning for the Executive Team and Board members, including all booking arrangements in accordance with company policies and preferences.
- Liaise with the General Counsel/Company Secretary as needed to ensure efficient scheduling and logistical arrangements for board meetings.
- Manage travel and expense reporting for Board Directors, adhering to company guidelines.
- Provide administrative support related to board meetings and Executive Team requests, working in partnership with the General Counsel to address any additional requirements.
- Demonstrate significant experience in handling highly sensitive information with utmost discretion and professionalism, safeguarding confidential data and ensuring its appropriate dissemination.
Key Requirements:
- Minimum of 5 years of proven experience as an Executive Assistant
- Exceptional organisational skills with a strong ability to manage multiple priorities effectively.
- Proficiency in using expense management systems (experience with Concur is advantageous).
- Outstanding communication and interpersonal skills, with a proven ability to interact professionally with senior executives and stakeholders.
- Ability to work independently and collaboratively within a fast-paced setting.
- Strong attention to detail and a commitment to maintaining high levels of accuracy and confidentiality.
