Position available for a Receptionist/Office Administrator; no prior secretarial experience is also welcome.
Major Responsibilities:
Streamline and expedite the workflow of administrative and secretarial services for the team.
Provide central administrative support professionally, managing fixed assets, coordinating budgets, procuring office supplies, handling telephone bills, and assisting with projects, workshops, events, and parties.
Plan, organize, and coordinate overseas travel, collaborating with travel agents and hotels.
Maintain organized records of team expenses and staff claims, ensuring timely submission.
Assist in organizing internal and external meetings, conferences, and events as required.
Adhere to company policies by issuing purchase orders, processing payments in Oracle, and managing staff claims in collaboration with Financial Control.
Work closely with internal colleagues, various departments, and external counterparts, taking on roles such as Group IT ITSA, Centre Admin User Group Representative, and Leave Administrator.
Maintain an efficient filing system, ensuring proper handling of sensitive and confidential information.
Provide backup support for the Executive Secretary.
Perform other related duties as assigned by the supervisor.
Requirements:
Recognized Diploma in Business Studies or a related field, with at least 5 passes in HKCEE, including English (Syllabus B).
Minimum of 3 years of relevant administrative and secretarial experience.
Excellent written and spoken English and Chinese (Cantonese and Mandarin).
Proficient in MS Office applications (Word, Excel, Power Apps, and PowerPoint).
Strong administrative skills and organizational abilities, capable of working independently and under pressure.
