Key Responsibilities
- Provide comprehensive secretarial support to senior executives, including scheduling meetings, handling correspondence, and managing confidential documentation.
- Prepare accurate and well-structured minutes for meetings, including Board meetings, Annual General Meetings (AGMs), and committee sessions.
- Coordinate and support logistics for large-scale industry events, conferences, and professional gatherings attended by senior legal professionals and stakeholders.
- Assist in the planning and execution of internal and external events, including venue setup, guest coordination, and materials preparation.
- Manage a wide range of administrative duties, such as documentation management, bilingual word processing, and maintaining filing systems.
- Liaise with internal departments and external stakeholders, ensuring smooth communication and follow-ups.
- Handle multiple tasks efficiently while maintaining attention to detail under pressure.
Requirements
- Bachelor's degree in Business Administration, Management, or a related discipline with formal secretarial training.
- Minimum of 5 years of solid secretarial experience, preferably supporting senior-level executives.
- Excellent command of spoken and written English; proficiency in Putonghua is an advantage.
- Demonstrated experience in preparing minutes of meetings and coordinating events.
- High proficiency in Microsoft Office Suite and other computer applications, with strong bilingual word processing and documentation management skills.
- Well-organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
- Immediate availability is highly preferred.
