Job responsibilities
- Service Delivery: Provide proactive secretarial and administrative support, managing meetings, travel, and communications, ensuring alignment with the firm's risk policies and client onboarding requirements.
- Client Relationship Management: Build and maintain strong relationships with clients and internal teams, contributing to client service initiatives and supporting client events.
- Business Development Support: Assist in editing bids, proposals, and marketing materials, updating fee earners' CVs, and maintaining the firm's CRM system to track client interactions.
- Document Management: Draft, format, proofread, and manage legal and marketing documents, ensuring consistency and compliance with house style.
- Billing and Expenses: Support the billing process by preparing and finalizing bills, handling pre-bills, and submitting expense claims in line with firm policies.
- Project Coordination: Open and maintain client files, manage conflict checks, and ensure all documentation is properly stored or archived.
- Continuous Improvement: Identify opportunities to enhance service delivery and efficiency, promoting innovation within the practice group.
- Collaboration: Work closely with fee earners, partners, and business operations teams, providing support across multiple business units and covering other functions when needed.
The ideal talent:
- Education: Diploma or equivalent; professional certification in secretarial services preferred.
- Experience: Between 5 to 10 years of prior experience in a similar legal secretary role in an international law firm.
- Skills: Proficient in Microsoft Office, CRM systems (e.g., Interaction), and document management.
- Attributes: Proactive, detail-oriented, adaptable, with strong communication and organizational skills.
